Multi-branch gyms and sub-dealers: running them from one panel

Branches versus sub-dealers, one member record across branches, stock and prices per branch, branch-scoped staff permissions and network-wide limits: what GamGym does for multi-branch gyms and what it doesn't do yet.

The first thing an owner learns when opening a second branch is that two branches aren't two spreadsheets. A member buys at one location and wants to train at the other, protein powder runs out in one branch while it sits on the shelf in another, and the front desk at each site should deal with its own till. Running a multi-branch gym well means not having to answer those questions again every day.

GamGym supports two kinds of multi-site setup, and understanding the difference early saves a lot of time later.

Branch or sub-dealer

A branch is another location of the same business. The member record belongs to the business, so a person is registered once and the same record opens at whichever branch they visit. Plans, the shop catalog and staff are managed in the same panel.

A sub-dealer is a separate business with its own owner, members and data. It's meant for brands that run franchises or dealerships. A sub-dealer doesn't pay a platform fee; it uses the parent company's plan, and the parent decides which features and how much quota each sub-dealer gets.

A quick rule: same till and same owner means branch, otherwise sub-dealer.

Branches: one member record, settings per branch

When you define a membership plan, you choose where it's valid: all branches or selected ones. If a member with a "this branch only" plan scans at another branch's door, the door refuses with the reason "not valid at this branch", and the desk can see why without an argument.

In the shop, the catalog is shared but prices and stock are per branch. The same product can sell at different prices at different sites, stock is transferred between branches, and stock counts are done branch by branch. Cash is per branch too: each branch opens and closes its own day, and any gap between counted and expected cash is recorded against that branch.

Staff are assigned to the branches you choose. A receptionist assigned to one site sees that site's classes, till and lists; the member record belongs to the business, so the member card itself opens from any branch. The branch switcher in the panel filters lists and dashboard numbers by branch. The collections report breaks down by payment method and branch, so you can see each branch's month side by side. On the Professional and Chain plans the hourly heatmap is available per branch too, which shows when each site's occupancy peaks.

Sub-dealers: separate data, shared limits

The parent company doesn't see a sub-dealer's members, and the sub-dealer doesn't see the parent's. That's deliberate: each business is responsible for its own members' data, and the businesses are kept apart at database level.

What they share is limits. Branches, sub-dealers and staff are counted across the whole network. If the Chain plan gives you 10 branches, 5 sub-dealers and 100 staff, those numbers cover the network and the parent shares the quota out. Workout templates can be shared with sub-dealers when the parent allows it, so the brand's standard program is the same at every location.

Here's what isn't there yet: a report that adds up all sub-dealers' figures on one screen at the parent, the parent logging into a sub-dealer's panel for oversight, and locking sub-dealer prices. Each sub-dealer sees its own reports in its own panel. If you need to follow your dealerships from a single report today, let's talk about it in a demo.

Pricing: what you pay per branch

In published price lists, an extra branch is usually sold as a paid add-on, and some foreign tools charge the full plan price for every branch. In GamGym (monthly, plus VAT):

  • Professional: 6,999 TL, 3 branches, 15 staff, 1,500 members.
  • Chain: 14,999 TL, 10 branches and 5 sub-dealers, 100 staff, 10,000 members.
  • Extra branch or sub-dealer: 1,999 TL, added to Professional or Chain.

A 10-branch network on Chain works out at roughly 1,500 TL per branch per month. A 5-branch business that adds two branches to Professional pays 10,997 TL a month, still below Chain. Paying yearly, you pay for 10 months and use 12. The full table is on the for gyms page.

Opening a new branch, in order

  1. Create the branch with its address, opening hours and time zone.
  2. Review which plans are valid where, and update the plans you want the new branch to accept.
  3. Assign staff to the branch and give them roles.
  4. Enter the branch's shop prices and opening stock.
  5. Pair a tablet for the door. Tablet QR entry is in every plan and doesn't count toward the access point limit. We explain how QR entry works in a separate article.

If you're moving existing members into the new structure, the guide to moving from Excel to gym software will help, and our topic-by-topic comparison is on the Why GamGym page.

Company-wide rules, branch roles and a rollout plan for five, ten or more branches are in gym chain management.

Creating the branch in the panel takes a few minutes; the real work is deciding which plan opens which door.

Frequently asked questions

What is the difference between a branch and a sub-dealer?

A branch is another location of the same business, sharing the member record, plans and catalog. A sub-dealer is a separate business with its own members and data that uses the parent company's plan and quota.

Can a member use a membership bought at one branch at another?

Yes, if the plan is valid at all branches. If it's valid only at selected branches, other doors refuse it with the reason "not valid at this branch".

How much does an extra branch cost?

1,999 TL a month plus VAT. Extra branches and sub-dealers are added to the Professional and Chain plans; paying yearly, you pay for 10 months.
